Missed-Call Cost Calculator for Small Businesses

By Web Asset House Studio · · Runs in your browser; nothing you type is sent or stored.

Every business misses some calls. Whether that matters depends on who was calling and what they'd have spent. This calculator multiplies through your own numbers so you can see the cost and compare it with the price of voicemail upgrades, an answering service or an AI receptionist.

Your numbers only. The starting values below are placeholders to show how the math works. They are not industry averages or benchmarks, and the calculator has no built-in statistics. Replace each one: your phone system's call log shows missed calls, and your bookings and invoices show close rates and job values.

Formulas used

  1. Callers lost = missed calls × (1 − share you still reach).
  2. Customers lost = callers lost × share who were new prospects × your close rate.
  3. Revenue lost = customers lost × average first-job value × jobs per customer. Per month = weekly × 52 ÷ 12; per year = weekly × 52.
  4. Gross profit lost = revenue lost × gross margin.
  5. Break-even = monthly cost ÷ profit per customer (or revenue per customer if you leave margin blank): how many recovered customers a month would pay for the option.

Worked example (placeholder numbers)

10 missed calls a week; you still reach 20%, so 8 callers are lost. Half were prospects (4), and you'd normally book 30% of them: 1.2 customers a week. At $400 each that's $480 a week, about $2,080 a month and $24,960 a year in revenue. With a 40% gross margin, that's about $832 a month in gross profit. An option costing $300 a month would break even at 1.875 recovered customers a month.
